Requirements :

  • Matric plus NQF level 7/ Bachelor’s Degree in Public Administration/ Administration/ Social Sciences, Management or relevant qualification coupled with a minimum of 3-5 years of administration/ executive support experience in the public/private sector environment; of which 3 years should be in a supervisory managerial level (Assistant Director Level). Competencies: In-depth knowledge of government legislative frameworks such as the PFMA, Public Service Act, Treasury Regulations and various Acts that regulate the Public Service; Knowledge of Supply Chain Management, corporate services and financial and asset management procedures and processes in the public sector; Good working knowledge of the Ministerial Handbook; Excellent Organisational Skills; Interpersonal Skills; Excellent Communication Skills; Computer Skills; Analytical Thinking Skills; Research Skills; Report Writing; Management Skills; Strategic Planning Skills; Leadership Skills; Negotiation Skills; Project Management; Strong Administrative Skills; Time Management; Work Independently, Effectively, And Efficiently Under Pressure; Agile and Adaptable to change, complexity in the work environment. A valid driver’s license.

Duties :

  • Ensure compliance and quality assurance of documents/submissions/referrals and communique received in the Office of the DDG for consideration and decision; Undertake policy or line function tasks as may be required (e.g., Undertake Research, Analyse Information, Consolidate Branch Reports etc.); Consolidate and quality assure documents directed to the office of the HoD, MEC and other key Structures (SMT, EMT, Portfolio Committee, IYM, Risk Management Committee, Audit Committee etc.; Compile memoranda as required; Scrutinize submissions/reports, make notes and recommendations to present to the DDG; Draft responses for submission and/or correspondence to internal and external stakeholders for the DDG’s consideration; Co-ordinate, follow-up, and compile reports of a transverse nature for the DDG; Advise and alert the DDG on reports to be submitted to key Administrative and/or Political Structures; Prepare and/or coordinate the preparation of briefing notes as well as other documentation as may be required; Consolidate and/or Compile Branch presentations and inputs for the DDG for SMT, EMT, Portfolio Committee and other structures as may apply; Liaise with Branch Chief Directors and/or stakeholders to ensure integration of programmes and provide secretariate and related support; Record minutes/resolutions and communicate/disseminate to relevant role-players; Coordinate and follow-up on progress made of meeting resolutions and action plans
